Privacy Policy

Last updated: 25 July 2026

Stargazing Yelagiri respects your privacy and is committed to handling your personal information responsibly, transparently and securely.

This Privacy Policy explains what information we collect, why we collect it, how we use and protect it, when it may be shared, and the choices available to you when you visit stargazingyelagiri.com, submit an enquiry, contact us, make a booking or participate in a Stargazing Yelagiri experience.

In this policy, “Stargazing Yelagiri”, “we”, “us” and “our” refer to the Stargazing Yelagiri brand and the people responsible for organising its guided telescope and night-sky experiences.

1. Information We Collect

We collect only the information that is reasonably required to respond to enquiries, plan experiences, manage bookings, communicate with guests and operate our website.

Information you provide through our enquiry form

When you complete the contact or booking enquiry form, we may collect:

  • Your name
  • Mobile number
  • Type of stargazing experience you are looking for
  • Group size
  • Resort, hotel, campsite, villa or event location
  • Preferred date and time
  • Occasion or purpose of the experience
  • Information included in your message
  • Any other details you voluntarily provide

Please avoid submitting information that is not necessary for planning your experience, including Aadhaar numbers, passwords, OTPs, card PINs, medical records or other highly sensitive information.

Information you provide through calls, email or WhatsApp

When you contact us by telephone, email or WhatsApp, we may collect and retain:

  • Your name and contact details
  • Your messages and correspondence
  • Travel dates and accommodation details
  • Group composition and approximate group size
  • Booking preferences
  • Venue and logistics information
  • Quotations and booking confirmations
  • Payment confirmation or transaction reference
  • Feedback provided after the experience

Communications made through WhatsApp or another third-party platform are also subject to that platform’s own privacy practices.

Booking and payment information

If you confirm an experience, we may collect information necessary to manage the booking, such as:

  • Guest or organiser name
  • Contact number and email address
  • Experience date, location and timing
  • Group size and selected experience
  • Quotation and agreed charges
  • Advance or final payment status
  • Invoice or transaction reference
  • Cancellation, postponement or refund details

We do not ask visitors to provide card PINs, banking passwords or OTPs. Where a third-party bank, UPI application or payment service is used, that provider processes payment credentials under its own privacy and security practices.

Event photographs, videos and testimonials

During a stargazing experience, photographs or videos may sometimes be captured for guest memories, documentation, testimonials or promotional use.

We will seek appropriate permission before intentionally publishing identifiable photographs, videos, reviews or testimonials on our website, social-media pages, advertisements or other public channels.

For children, permission must be provided by a parent, lawful guardian, school representative or other appropriately authorised adult.

Declining promotional photography will not prevent you from participating in the core stargazing experience.

Website and technical information

When you visit our website, our hosting, security or website systems may automatically record limited technical information, including:

  • Internet Protocol address
  • Browser and device type
  • Operating system
  • Date and time of access
  • Pages visited
  • Referring page or website
  • Approximate geographic region
  • Website errors, security events and server logs

This information is generally used to operate, secure, troubleshoot and improve the website. We do not use technical information to identify you unnecessarily.

Information provided for an enquiry or booking will not automatically be used for unrelated marketing.

3. Consent and Your Choices

When you voluntarily submit an enquiry, contact us or request a service, you permit us to use the information necessary to respond and take the requested action.

Where separate consent is appropriate—such as for promotional emails, public testimonials or identifiable event photographs—we will seek it separately wherever reasonably possible.

You may withdraw your consent for optional processing by contacting us. Withdrawal will not affect processing that was already lawfully completed or information that must be retained for legal, accounting, contractual or dispute-resolution purposes.

You may also choose not to provide certain information. However, we may be unable to respond properly, prepare an accurate quotation or organise the requested experience without essential details such as your contact number, date, group size and location.

4. Service and Marketing Communications

We may contact you by telephone, email, SMS or WhatsApp regarding:

  • Your enquiry
  • Availability
  • Quotations
  • Booking confirmation
  • Payment status
  • Venue coordination
  • Weather or visibility updates
  • Rescheduling or cancellation
  • Instructions for the experience
  • Feedback or support

These are service-related communications connected to your enquiry or booking.

We will send promotional messages, event announcements or general stargazing updates only where we have an appropriate basis to do so. You may opt out of promotional communication at any time by replying with an unsubscribe request or contacting us using the details at the end of this policy.

Opting out of marketing will not stop essential messages relating to an active enquiry or confirmed booking.

5. Cookies and Similar Technologies

Our website may use cookies or similar technologies to:

  • Keep the website functioning correctly
  • Support forms and website security
  • Remember basic visitor preferences
  • Prevent spam and fraudulent submissions
  • Understand website performance and visitor behaviour
  • Diagnose errors and improve usability

Some cookies may be essential for the website to work. Other cookies, including analytics or advertising cookies, may require your consent before they are activated.

You can control or delete cookies through your browser settings. Disabling essential cookies may affect certain website functions, including enquiry forms.

Where non-essential analytics, advertising pixels or embedded third-party services are introduced, we will provide appropriate information and consent choices.

6. When We Share Information

We do not sell or rent your personal information.

We may share limited information with trusted service providers or other parties when reasonably necessary to operate our services, including:

  • Website hosting and maintenance providers

  • Accountants, tax professionals or legal advisers
  • Resorts, hotels, campsites or venue representatives
  • Event-support personnel and operational partners

  • Government authorities, regulators, courts or law-enforcement agencies where legally required

A resort or venue will receive only the information reasonably necessary to coordinate access, timing, setup or guest arrangements.

Service providers acting on our behalf are expected to process information only for the relevant service and to protect it appropriately.

We may also disclose information where reasonably necessary to protect the safety, property or legal rights of Stargazing Yelagiri, our guests, our team or other people.

7. Third-Party Platforms and Services

Our website or communications may include links to or interactions with third-party services such as:

  • WhatsApp
  • Social-media platforms
  • Email providers
  • Map or navigation services
  • Payment or UPI applications
  • Resorts and accommodation providers
  • Embedded videos or external websites

When you choose to use a third-party service, that provider may independently collect and process information under its own privacy policy. Stargazing Yelagiri does not control the privacy practices of independent third parties.

We encourage you to review the relevant provider’s privacy information before sharing personal details through an external platform.

8. Data Retention

We retain personal information only for as long as it is reasonably required for the purpose for which it was collected or where retention is required for legal, security, accounting or dispute-resolution purposes.

Our general approach is:

  • Unconfirmed enquiry information may normally be retained for up to 12 months after the last meaningful communication.
  • Confirmed booking, invoice and transaction information may be retained for the period required by applicable accounting, taxation and legal requirements.
  • Communication records may be retained while an enquiry, booking, complaint or dispute remains active.
  • Marketing contact details may be retained until you unsubscribe or withdraw consent.
  • Photographs, videos and testimonials published with permission may remain in use until they are no longer required or until a valid removal request is accepted.
  • Technical and security logs may be retained for the period necessary to investigate incidents, maintain website security or comply with applicable law.

We may securely delete, anonymise or aggregate information when it is no longer required.

9. Information Security

We use reasonable technical, organisational and operational safeguards appropriate to the nature of the information we handle. These may include:

  • Secure website connections
  • Access controls
  • Password protection
  • Restricted administrative access
  • Website and software updates
  • Hosting and security protections
  • Backups
  • Spam and malware prevention
  • Limiting access to people who need the information
  • Reviewing and responding to suspected security incidents

Despite reasonable safeguards, no website, email service, wireless connection or internet transmission can be guaranteed to be completely secure.

If we become aware of a personal-data breach that may create a meaningful risk to affected individuals, we will take appropriate steps to investigate, limit the impact and provide notifications where required by applicable law.

10. Children’s Privacy

Stargazing Yelagiri provides family-friendly and educational experiences that may be attended by children. However, website enquiries and bookings should be submitted by an adult who is at least 18 years old.

We do not knowingly request children to independently submit personal information through our website.

Parents, guardians, teachers and authorised organisers should provide only the minimum information required to organise an experience involving children.

We will not knowingly use a child’s personal information for targeted advertising or unrelated marketing.

Identifiable photographs, videos, names or testimonials involving children will be published only after receiving appropriate permission from a parent, lawful guardian, school representative or another authorised adult.

A parent or guardian who believes that a child has submitted personal information without appropriate permission may contact us to request its review or deletion.

11. Your Privacy Rights

Subject to applicable law, you may request that we:

  • Confirm whether we hold personal information about you
  • Provide a summary of the information being processed
  • Correct inaccurate or incomplete information
  • Update outdated information
  • Delete information that is no longer required
  • Withdraw consent for optional processing
  • Stop sending promotional communications
  • Explain how your information has been used or shared
  • Review a privacy-related concern or grievance

Where applicable, you may also nominate another person to exercise your rights in the event of death or incapacity.

We may need to verify your identity before processing a request. We may also retain information where continued storage is required by law or is reasonably necessary for payment records, fraud prevention, legal claims, safety or dispute resolution.

To exercise a privacy right, email explore@stargazingyelagiri.com with the subject line “Privacy Request” and clearly describe your request.

12. International Processing

Some website, email, communication, cloud or technology providers may process or store information using systems located outside India.

Where personal information is transferred or processed outside India, we will take reasonable steps to use reputable providers and comply with applicable restrictions and data-protection requirements.

13. External Links

Our website may contain links to resorts, accommodation providers, astronomy resources, social-media pages or other external websites.

We are not responsible for the content, security or privacy practices of websites that we do not own or control. Visiting an external website is subject to that website’s terms and privacy policy.

We may update this Privacy Policy when:

  • Our website or services change
  • New forms or communication channels are introduced
  • We add analytics, advertising or payment tools
  • Our information-handling practices change
  • Legal or regulatory requirements are updated
