These Terms and Conditions explain the rules that apply when you visit stargazingyelagiri.com, submit an enquiry, request a quotation, confirm a booking or participate in a Stargazing Yelagiri experience.
Please read these terms before confirming a booking. By accepting our quotation, making a payment or participating in an experience, you agree to these Terms and Conditions.
In these terms, “Stargazing Yelagiri”, “we”, “us” and “our” refer to the Stargazing Yelagiri brand and the team responsible for organising its guided telescope and night-sky experiences.
“Guest”, “customer”, “you” and “your” refer to the person making the enquiry or booking and, where applicable, the participants included in that booking.
1. About Stargazing Yelagiri
Stargazing Yelagiri provides guided telescope and night-sky experiences in and around Yelagiri Hills, Tamil Nadu.
Experiences may be organised for:
- Couples
- Families and friends
- Children and birthday celebrations
- Schools and educational groups
- Corporate groups
- Resorts and hospitality partners
- Private events and special occasions
- Travellers visiting Yelagiri
Sessions may be conducted at resorts, hotels, villas, campsites, terraces or other suitable open-sky locations, subject to permission, accessibility, safety, weather and sky visibility.
The exact format, duration, equipment, inclusions, location, price and expected observing targets will be described in the quotation or booking confirmation provided to you.
2. Website Information
The information on our website is provided to help visitors understand our stargazing experiences and contact us.
Website content does not, by itself, create a confirmed booking or guarantee that a particular experience, date, celestial object or location will be available.
We make reasonable efforts to keep the website accurate and current. However:
- Sky conditions change throughout the year.
- Celestial objects are visible only during suitable seasons and times.
- Weather forecasts may change unexpectedly.
- Experience formats and prices may be updated.
- Website information may occasionally contain errors or require revision.
The information included in your individual quotation or written booking confirmation will apply to your booking.
3. Eligibility and Responsibility for a Group
You must be at least 18 years old and legally capable of entering into a contract to confirm a booking.
A person making a booking on behalf of a family, school, company, resort or other group confirms that they:
- Have authority to make the booking.
- Have provided accurate information.
- Have shared these terms with the participants or responsible organiser.
- Accept responsibility for communicating event instructions to the group.
- Will ensure that children and dependent participants receive appropriate supervision.
Children may participate only under the supervision of a parent, guardian, teacher or another responsible adult.
4. Enquiries Are Not Confirmed Bookings
Submitting a website form, sending a WhatsApp message, making a telephone call or requesting a quotation does not automatically confirm a booking.
A booking is confirmed only when:
- We have reviewed the requested date, location and requirements.
- We have issued a written quotation or booking summary.
- You have accepted the quotation.
- The required advance or full payment has been received.
- We have sent you a written booking confirmation.
Written confirmation may be provided through email or WhatsApp.
Until these steps are completed, the requested date remains subject to availability and may be offered to another customer.
5. Information You Must Provide
To plan the experience, we may ask for:
- Name and contact details
- Preferred date and time
- Resort, hotel or venue name
- Exact event location
- Group size
- Number and approximate age of children
- Occasion or type of experience
- Venue access and setup information
- Special requirements
- Resort or property permission
- Other information reasonably required for planning
You are responsible for ensuring that the information provided is accurate and complete.
Please inform us promptly if the group size, location, date, timing or other important details change. Changes may affect availability, equipment requirements, logistics and price.
6. Quotations and Pricing
Unless otherwise stated, all prices will be quoted in Indian Rupees.
A quotation may include:
- Professional telescope setup
- Guided night-sky explanation
- Session duration
- Number of facilitators
- Travel or equipment transportation
- Group-size charges
- Venue-specific requirements
- Applicable taxes
- Optional activities or additions
Only the services expressly mentioned in the quotation are included.
Accommodation, food, local transportation, resort charges, venue fees, entry permits, parking fees and other third-party expenses are not included unless clearly stated.
Quotations remain valid for the period mentioned in the quotation. If no validity period is stated, the quotation will normally remain valid for seven calendar days, subject to date availability.
We may revise the price if you later change the location, group size, duration, date, timing or scope of the experience.
7. Payments
The required advance amount, balance amount and payment deadlines will be stated in your quotation.
Payments may be accepted through the payment methods communicated by us.
A booking may be released or cancelled if:
- The required advance is not received.
- The balance is not paid by the agreed deadline.
- A payment is reversed, disputed or unsuccessful.
- We cannot verify a payment when reasonably required.
You should retain your payment confirmation or transaction reference.
Never share your banking password, card PIN or OTP with us. Stargazing Yelagiri will not ask for this information.
8. Weather and Sky Visibility
Stargazing is naturally dependent on weather and sky conditions.
Conditions that may affect the experience include:
- Clouds
- Rain
- Mist or fog
- Strong wind
- High humidity
- Haze or smoke
- Light pollution
- Moonlight
- Nearby buildings or trees
- Resort lighting
- Local power or access restrictions
- Unexpected changes in visibility
Weather applications and forecasts provide guidance, but they cannot guarantee the exact conditions at a particular venue and time.
We will review the expected weather and visibility closer to the scheduled session. The final decision to proceed, delay, shorten, relocate, reschedule or cancel an experience will be made by Stargazing Yelagiri after considering safety, travel, equipment and the likelihood of delivering a meaningful session.
9. Celestial Objects Are Not Guaranteed
Astronomical objects are not visible at all times.
What can be observed depends on:
- Date and session timing
- Season
- Planetary positions
- Moon phase
- Weather and cloud cover
- Horizon visibility
- Venue lighting
- Local obstructions
- Telescope capability
- Atmospheric conditions
A session may include available views or explanations of the Moon, planets, bright stars, double stars, star clusters, constellations, satellites or other suitable night-sky features.
References on our website, social media or promotional material to particular celestial objects are examples of what may be observable under suitable conditions. They are not a promise that every object will be visible during every booking.
We do not guarantee a view of the Milky Way, meteor showers, Saturn’s rings, a particular planet or any rare astronomical event unless this is expressly confirmed in writing for a specific event—and even then, actual visibility remains weather-dependent.
10. Customer Cancellations
Unless different cancellation terms are clearly stated in your quotation, the following policy applies.
Cancellation seven or more days before the session
You may choose:
- A refund of the amount paid, less any payment-processing or non-recoverable third-party charges; or
- One reschedule to another available date within six months.
Cancellation between three and six days before the session
You may choose:
- A refund of 50% of the amount paid; or
- One reschedule to another available date within six months.
Any non-recoverable third-party costs already incurred may be deducted.
Cancellation less than 72 hours before the session
Payments will normally be non-refundable because the date, team, travel and equipment arrangements will already have been reserved.
A reschedule may be considered at our discretion, depending on the reason, availability and costs already incurred.
No-show or cancellation after the scheduled start time
No refund or credit will apply if:
- The group does not arrive or become available.
- Venue access is refused.
- The customer cannot be contacted.
- The session cannot begin because of circumstances controlled by the customer or venue.
- The customer decides not to participate after the team has travelled or completed setup.
Cancellation time is calculated from the scheduled starting time of the experience.
11. Rescheduling Requested by the Customer
A rescheduled date is subject to:
- Team availability
- Weather and season
- Venue availability
- Equipment requirements
- Any difference in travel or service costs
Only one customer-requested reschedule is included unless otherwise agreed.
A rescheduled booking must normally be used within six months of the original session date. It cannot be exchanged for cash after the reschedule is accepted.
If the new booking requires additional travel, equipment, staffing or duration, the price difference must be paid before confirmation.
12. Weather-Related Changes
When we recommend rescheduling before travel or setup
If we determine that the weather is unsafe or that meaningful observation is highly unlikely before our team travels or begins setup, we will offer:
- A mutually suitable rescheduled date; or
- A refund of the service amount received if a suitable alternative cannot be agreed.
Refundable amounts may exclude payment-processing charges or third-party expenses that were clearly disclosed and cannot be recovered.
When weather changes after travel or setup
Yelagiri weather can change quickly.
If conditions deteriorate after our team has travelled, reached the venue or completed significant setup, we may:
- Wait for conditions to improve.
- Adjust the session timing.
- Conduct available sky explanations.
- Demonstrate the telescope and observing equipment.
- Observe through temporary clear patches.
- Shorten the session for safety.
- Offer a reasonable reschedule credit, depending on how much of the service was delivered.
A full cash refund is not automatically available after travel, setup or partial delivery of the experience.
When a customer chooses to proceed against our recommendation
If we recommend postponement because of an unfavourable forecast but the customer asks us to proceed, the customer accepts the risk of limited or no telescope visibility.
In that situation, travel, setup and facilitation charges will remain payable, and a refund will not normally be provided solely because the sky remains cloudy.
13. Cancellation or Rescheduling by Stargazing Yelagiri
We may cancel, postpone, relocate or reschedule an experience due to:
- Unsafe weather
- Heavy rain or strong wind
- Road closures
- Government or local-authority restrictions
- Venue access problems
- Telescope or equipment failure
- Illness or emergency
- Transport disruption
- Safety concerns
- Events beyond our reasonable control
Where we cancel an experience before providing the service, you may choose:
- A full refund of the service amount paid; or
- A transfer of the full amount to another available date.
We are not responsible for separate costs incurred by customers for travel, accommodation, meals, venue bookings or other third-party arrangements.
Guests should therefore avoid making non-refundable travel arrangements solely based on a stargazing booking wherever possible.
14. Refund Processing
Approved refunds will normally be initiated within seven to ten working days.
The time taken for the amount to appear in your account may depend on your bank, card issuer, UPI provider or payment service.
Refunds will generally be made to the original payment method. We may request reasonable information to verify the payer and process the refund securely.
Payment-gateway, banking or transaction fees already charged by a third-party provider may not be refundable.
15. Venue Requirements
The person making the booking is responsible for ensuring that the venue:
- Permits an external telescope experience.
- Provides safe and lawful access.
- Has a stable and reasonably level setup area.
- Has sufficient open-sky visibility.
- Can reduce nearby lights where reasonably possible.
- Allows equipment loading and unloading.
- Is free from avoidable hazards.
- Has suitable adult supervision for children.
- Provides any permissions required from the resort, property owner or management.
Please inform us in advance about:
- Stairs or long walking distances
- Narrow roads or restricted vehicle access
- Parking limitations
- Rooftop access
- Uneven or wet ground
- Pets or animals at the venue
- High walls, trees or buildings
- Bright permanent lighting
- Noise restrictions
- Venue closing times
- Any safety or access issue affecting the team or equipment
We may refuse or relocate a setup if the area is unsafe, inaccessible or unsuitable for telescope operation.
16. Participant Safety and Conduct
Stargazing is usually conducted outdoors and after dark. Participants should be aware of ordinary outdoor risks, including uneven ground, steps, insects, changing temperatures, wet surfaces, plants, animals and reduced visibility.
Participants must:
- Follow the host’s safety instructions.
- Walk carefully in low-light areas.
- Keep children appropriately supervised.
- Avoid running near telescopes and equipment.
- Avoid touching equipment without permission.
- Keep food and drinks away from optical equipment.
- Use mobile-phone lights only when instructed.
- Respect the venue, other guests and the natural environment.
- Inform the host about any immediate safety concern.
We may stop a person from using the telescope or ask them to leave the setup area if their behaviour is unsafe, abusive, disruptive or likely to damage equipment.
Participants who appear severely intoxicated or unable to follow instructions may be refused telescope access. No refund will apply where access is refused for safety or misconduct.
17. Solar Observation Safety
Guests must never look directly at the Sun through a telescope, binoculars, finder scope, camera lens or other optical device unless the activity is specifically organised and supervised using suitable solar-observation equipment.
Do not point any telescope towards the Sun.
Any daytime solar-observation session will be conducted only when expressly included and supervised by Stargazing Yelagiri using appropriate equipment and safety procedures.
18. Equipment Care
Our telescopes, eyepieces and accessories are precision instruments.
Participants must not:
- Move or reposition a telescope without permission.
- Remove eyepieces or components.
- Touch optical surfaces.
- Force telescope controls.
- Place liquids near equipment.
- Use flashlights or camera flashes when instructed not to.
- Allow children to handle equipment without supervision.
The person responsible for a booking may be charged the reasonable repair or replacement cost where equipment is intentionally damaged or damaged through serious misuse or disregard of instructions.
Normal accidental contact and ordinary wear will not result in a charge.
19. Health and Accessibility
Please inform us before booking if a participant has an accessibility requirement that may affect venue selection or participation.
Stargazing may involve:
- Standing for periods of time
- Bending to look through an eyepiece
- Walking in low light
- Outdoor temperatures
- Steps or uneven surfaces
We will make reasonable efforts to adapt the experience where possible, but accessibility ultimately depends on the selected venue and the information provided in advance.
Guests are responsible for carrying any personal medication and seeking professional medical advice where needed.
20. Photography, Videos and Personal Devices
Guests may take personal photographs or videos where doing so is safe and does not interrupt the experience.
However:
- Telescope photography is not automatically included.
- A clear mobile-phone photograph through an eyepiece cannot be guaranteed.
- Camera flashes may be restricted.
- Tripods and additional equipment must not obstruct the setup.
- Commercial filming requires prior written permission.
Stargazing Yelagiri will obtain appropriate permission before intentionally publishing identifiable guest photographs, videos or testimonials for promotional purposes.
Photography involving children requires permission from a parent, guardian, school representative or another appropriately authorised adult.

21. Schools, Companies and Organised Groups
For school, corporate, resort and large-group experiences, the organiser is responsible for:
- Providing an accurate participant count
- Maintaining appropriate supervision
- Managing queues and participant movement
- Communicating safety instructions
- Obtaining institutional and parental permissions where required
- Providing suitable venue access
- Coordinating with the property or management
- Informing us of accessibility or safeguarding requirements
Additional terms, deposits, staffing requirements and cancellation conditions may be included in the event quotation.
Where an event-specific quotation contains terms that differ from this general page, the clearly stated event-specific terms will apply to that booking.
22. Resorts and Other Third Parties
Stargazing Yelagiri is independent of resorts, hotels, villas, campsites, transport operators and other third-party businesses unless a written partnership or package expressly states otherwise.
We are not responsible for:
- Accommodation quality
- Food or hospitality services
- Resort charges
- Transport services
- Venue cancellations
- Property rules
- Third-party advertisements
- Acts or omissions of independent providers
A recommendation, website link or venue reference does not mean that we control or guarantee that third party’s service.
Any complaint concerning accommodation, transport or another independent service should be raised directly with the relevant provider.
23. Personal Belongings
Guests are responsible for their phones, cameras, bags, jewellery, vehicles and other belongings.
Stargazing Yelagiri is not responsible for personal items that are lost, misplaced, stolen or damaged at a resort, public area or customer-selected venue unless the loss was directly caused by our proven negligence.
24. Website Use and Intellectual Property
The Stargazing Yelagiri name, logo, website design, original photographs, graphics, text, videos and educational materials are owned by or licensed to Stargazing Yelagiri unless otherwise stated.
You may view and share links to our public website for personal and non-commercial purposes.
You may not, without prior written permission:
- Copy substantial website content.
- Republish our photographs or videos.
- Use our logo or brand name commercially.
- Present our content as your own.
- Sell or redistribute our educational material.
- Scrape or interfere with the website.
- Attempt unauthorised access to website systems.
- Use the website for fraudulent or unlawful activity.
25. Reviews and Feedback
You may voluntarily provide feedback, reviews, photographs or testimonials after an experience.
You confirm that material submitted by you:
- Is based on your genuine experience.
- Does not knowingly contain false information.
- Does not infringe another person’s privacy or intellectual-property rights.
- Is not abusive, threatening or unlawful.
We will seek appropriate permission before using identifiable reviews, names, photographs or videos in public promotional material.
You may contact us if you later want us to review a request to remove personal information from a published testimonial.
26. Limitation of Responsibility
We will provide the confirmed service with reasonable skill, care and attention.
However, we cannot control natural conditions, celestial movement, weather, venue lighting, road access, property restrictions or the actions of independent third parties.
To the maximum extent permitted by law, Stargazing Yelagiri will not be responsible for:
- Objects being hidden by clouds or local obstructions
- Changes in weather forecasts
- Reduced visibility caused by moonlight or light pollution
- Personal disappointment because a preferred object was not visible
- Missed travel, accommodation or third-party bookings
- Indirect or consequential losses
- Loss caused by ignoring safety instructions
- Problems caused by inaccurate information provided by the customer
- Acts or omissions of resorts and independent service providers
Nothing in these Terms and Conditions excludes:
- Rights available under applicable consumer law
- Liability that cannot legally be excluded
- Responsibility for fraud or wilful misconduct
- Responsibility for loss directly caused by proven negligence where the law does not permit exclusion
27. Events Beyond Reasonable Control
Neither party will be treated as having breached these terms where performance is prevented or materially delayed by events beyond reasonable control.
These may include:
- Extreme weather
- Natural disasters
- Fire
- Flooding
- Landslides
- Road closures
- Government restrictions
- Civil disturbance
- Strikes
- Public-health emergencies
- Transport failure
- Power failure
- Serious illness or emergency
- Other unavoidable events
Where possible, we will communicate promptly and offer a reasonable reschedule, credit or refund based on the circumstances and costs already incurred.
28. Privacy
Personal information collected through our website, email, telephone, WhatsApp and booking process will be handled according to our Privacy Policy.
By submitting an enquiry, you permit us to use the information reasonably required to respond, prepare a quotation and organise the requested experience.
The Privacy Policy should be read together with these Terms and Conditions.
29. Complaints and Resolution
We want every guest to receive a fair and meaningful experience.
If you have a concern, please contact us as soon as possible and provide:
- Your name
- Booking date
- Event location
- Description of the concern
- Relevant photographs, messages or payment details
- The resolution you are requesting
We will review the matter and make reasonable efforts to respond within seven working days.
Where a dispute cannot be resolved directly, both parties should first attempt to resolve it through good-faith discussion or mediation before beginning formal proceedings, where appropriate.
This section does not prevent a consumer from using any legal right or consumer-redressal mechanism available under applicable law.
30. Governing Law
These Terms and Conditions are governed by the laws of India.
Any legal proceeding will be subject to the courts, tribunals or consumer commissions having competent jurisdiction under applicable law.
31. Changes to These Terms
We may update these Terms and Conditions when our services, booking process, payment methods, policies or legal obligations change.
The latest revision date will be displayed at the top of this page.
Changes will not normally alter the agreed terms of an already confirmed booking unless:
- The change is required by law.
- It is necessary for safety.
- Both parties agree to the change.
- The original quotation expressly allows the adjustment.
